Three practical checks for your next conversation with your property manager.
Confirm the reporting period, opening and closing balances, rent receipts, management fees, repairs, and owner distributions. Ask for the underlying ledger or invoice when an entry is unclear. A bank balance, profit figure, and amount available for distribution are not interchangeable.
Ask for a dated, unit-level delinquency report and a tenant ledger showing charges, payments, and adjustments. Separate a current balance from the amount overdue, and confirm which period each payment covers before drawing conclusions.
Reference the report and date, state the specific question, and ask for the evidence needed to resolve it. Agree on an owner for the next step and a follow-up date. Keep the response with the source record so the same issue does not need to be investigated twice.
